Process Documentation & SOP Development

Turn the way you work into systems your whole team can rely on.

Documentation should make your business easier to run — faster onboarding, more consistent work, and answers anyone can find. We capture how your team works at its best and turn it into clear, living documentation that keeps things running smoothly as you grow.

The systems that carried you this far were probably never written down — they live in the habits of whoever's been here longest. That works until it doesn't: someone goes on leave, a new hire takes months to ramp, or the same task gets done five different ways. You shouldn't have to reinvent the wheel every time your team hits a curveball or someone moves on.

When knowledge lives in people's heads, growth gets risky

You might recognize a few of these:

  • Onboarding a new hire means shadowing whoever "just knows"

  • The same task gets done a different way every time

  • One person leaving would walk out the door with critical know-how

  • Nobody can find the doc — or trust that it's current

  • You've scaled, but your processes never got written down

What process documentation with LGN Collab looks like

We don't hand you a binder nobody opens. We build living documentation your team reaches for — partial or full-suite, scoped to what matters most first.

  • Process mapping — make the way work actually flows visible, start to finish

  • SOP development — clear, repeatable standard operating procedures for the tasks that matter

  • Documentation — partial or full-suite, organized so the right answer is easy to find

  • Knowledge base setup — a single source of truth your team trusts

  • Optimization — we fix the broken steps as we document them, not just record the mess

Build it yourself, or build it with us

You don't have to choose between doing it all alone and handing it all off:

  • Do it yourself — our Process Clarity Kit walks you through documenting your own processes, step by step. Best when you're early-stage and cost-conscious.

  • Do it with us — full-service documentation where we map, write, and build alongside your team. Best when you're scaling and need it done right, fast.

Built with your team, not handed off to it

The reason most documentation goes stale is that it's done to a team instead of with one. We work the opposite way — engaging your people, building the documentation alongside them, and establishing habits so it stays accurate long after we're done. The result is clarity that holds: calmer operations, faster onboarding, and a team that isn't carrying the whole system in their memory.

Documentation builds the systems your team runs on. If you also want an experienced operator to lead and evolve those systems day to day, that's what our fractional COO support is for.

How a scaling brand turned tribal knowledge into systems

When their operations lived inside one person's head, this growing brand brought in LGN Collab to document the way they work — building SOPs, a searchable knowledge base, and onboarding systems that no longer depended on any one person. The result was continuity they could count on, even through a key transition. Read the full story →

Process documentation FAQs

What is process documentation?

Process documentation captures how work actually gets done — the steps, tools, owners, and decisions behind a task — and writes it down in a clear, repeatable form. Done well, it turns knowledge that lives in people's heads into systems your whole team can follow.

What's the difference between process documentation and an SOP?

They're related but not the same. Process documentation is the broader map of how a process flows end to end; a standard operating procedure (SOP) is the step-by-step instructions for one specific task within it. Most teams need both — the map and the turn-by-turn directions.

Where do I start with documenting our processes?

Start with the processes that hurt most when they break, or that only one person knows how to do — those are your biggest risks. If you'd rather build it yourself, our Process Clarity Kit walks you through it; if you'd rather have it built with you, that's what our full-service support is for.

Do you document everything, or just the key processes?

Your call. We offer partial documentation focused on your highest-risk or highest-friction processes, or full-suite documentation across your operations. We'll help you scope what's worth documenting first, so you get value quickly without trying to boil the ocean.
